This policy explains how Cubik Commercial Ltd collects, uses and protects personal data when you use the Cubik CRM and related services, in accordance with the UK GDPR and the Data Protection Act 2018.

Who we are

Cubik Commercial Ltd (Company No. 14175507) is the data controller for the personal data described in this policy. We are registered in England and Wales and authorised and regulated by the Financial Conduct Authority.

Information we collect

• Account data — name, email address, company, phone number and role for staff and introducer accounts.
• Client & quote data — details submitted to generate Buy to Let and Bridging illustrations, including loan, property and applicant information.
• Usage data — log, device and security information generated when you sign in and use the platform.

How we use it

We process personal data to operate the CRM, generate and send illustrations, manage introducer relationships and commissions, meet our regulatory and anti-money-laundering obligations, secure the platform, and communicate with you about your account.

Lawful basis

We rely on legitimate interests (operating and securing our business), the performance of a contract (providing the service to staff and introducers), legal obligation (regulatory and AML duties), and consent where required (for example, certain communications).

Sharing

We share personal data only where necessary: with lenders and finance providers to progress a case, with our service providers who host and support the platform, and with regulators or authorities where we are legally required to do so. We do not sell personal data.

Retention

We keep personal data only as long as necessary for the purposes set out above, and in line with our regulatory and anti-money-laundering record-keeping obligations (generally a minimum of five years for case records).

Your rights

You have the right to access, correct, erase, restrict or object to the processing of your personal data, and to data portability, subject to legal limits.
